One hotel operation, seen from the desk and from the floor

Management and department heads need a broad overview of the day in order to coordinate it. The teams doing the work need the next job and where it is. The Web Dashboard is built for the first need and the Mobile App for the second. Both work from the same operational status.

Web Dashboard
For management, department heads and administration. This is where work is coordinated and reviewed.
Mobile App
For the teams on the floor, and for leads as they walk through the hotel. This is where work is carried out and documented.

The office and the corridor ask different things of software

At the desk

A department head wants to see the whole day: what is still open, who has it, what is running late and what to hand to whom. Those questions need space on the screen and a view across departments.

In the room or the corridor

A team member asks something else: what is mine right now, where is it, and how do I report that it is done? On a phone held in one hand, a broad overview would only be in the way.

Neither need is more important than the other, and a single screen cannot serve both well. That is why Sidrahoc has two surfaces.

Web Dashboard

The Web Dashboard is where the day is coordinated

Management, department heads and administration use it, usually at a desk or in a meeting, where a larger screen and a view across departments are useful.

  • See what needs attention first

Urgent items come forward, so the first look at the day shows where to start.

  • Assign work

A lead gives a task to a person or a team and sets its priority. Many tasks can be assigned together.

  • Follow rooms, incidents and maintenance

Room status, open incidents and maintenance work can be followed across departments.

  • Read the reports

Period reports include the individual cases their figures draw on, and each figure has a written definition.

For management this means context: a view of the day that does not depend on being in every corridor, and follow-up that does not begin with a phone call.

Reports and set-up stay in the Web Dashboard. The Mobile App leaves them out on purpose.

Mobile App

The Mobile App brings the work to where it is done

Teams use it in rooms and corridors, and leads use it as they walk through the hotel. It is deliberately narrow: each person sees their own work and what to document, not the whole operation.

  • See the work that is yours

Assigned tasks appear with their place and priority.

  • Open a task and see what is expected

The detail shows the place, the priority, the due time and, where a record is asked for, what has to be documented.

  • Update the work on the spot

The status changes as the work moves on, without a trip back to a desk.

  • Report a problem where you find it

A defect in a room is recorded with its place and urgency, so it does not travel by word of mouth.

Teams get the information next to the work instead of at a desk, and an update does not wait until someone is back there.

How one piece of work travels between the surfaces

  1. Web Dashboard

    Coordinate

A lead creates or assigns the task and sets its priority.

  2. Mobile App

    Act

The person it is assigned to sees it on the phone, with its place.

  3. Mobile App

    Update

The status changes as the work moves on, and completion is recorded.

  4. Web Dashboard

    Follow

The lead sees where the work stands and can check the result.

What stays with the work

On the way the task keeps what it needs: its place, who is responsible, its priority, its status, when it is due and what has happened to it. Because that travels with the task, nobody has to explain it again over the phone.

Each role starts in a different place in the Mobile App

Manager
Starts with the state of the house: rooms, open tasks and disruptions.
Housekeeping lead
Works from the rooms, tasks and incidents of the day.
Technician
Starts with technical work and can also see incidents.
Team member
Starts with their own day: today's shift and the tasks assigned to them.

An extra bed before four o'clock

A family is arriving this afternoon and wants an extra bed in room 308. This is how the task passes between the two surfaces.

Example scenario with fictional details. How it runs in your hotel depends on how Sidrahoc is configured for you.

  1. Web Dashboard

In the Web Dashboard, the duty manager gives the task to a member of the day team, sets a high priority and a due time before the arrival.

  2. Mobile App

The team member sees the task in the Mobile App with the room, the priority and the due time. Once the bed is in place, they update the status and record that the work is done.

  3. Web Dashboard

Back in the Web Dashboard, the duty manager sees the new status without calling anyone, and the housekeeping lead can check the result and release it.

Where the two surfaces sit in Sidrahoc

Sidrahoc is a Hotel Operations Center, and the Web Dashboard and the Mobile App are the two ways people work in it. Tasks & Proof shows the model in one concrete area: a task is coordinated, carried out, documented and checked.

Questions about the Web Dashboard and the Mobile App

Do team members need the Web Dashboard?

No. Teams do their work in the Mobile App. The Web Dashboard is for management, department heads and administration, who coordinate and review the work, read reports and set up the hotel.

Can managers use the Mobile App as well?

Yes. Managers and department leads have their own starting points in the app and can use it as they move through the hotel. Reports and set-up stay in the Web Dashboard.

Do the two surfaces show the same information?

They work from the same operational status, but they present it differently. The Web Dashboard offers a broader view for coordination. The Mobile App shows each person the work that concerns them.

Is there a separate app for each role?

No. There is one Mobile App, for Android and iOS phones. What a person sees first depends on their role.

Does Sidrahoc replace our PMS?

No. Your PMS remains the system for reservations, guests, stays and billing. The Web Dashboard and the Mobile App cover the operational work around it.
